This document describes the various steps involved in electronically filing T3 tax return types and slips through the EFILE and Internet filing options.

  1. Completing the federal T3 efile setup
  2. Reviewing the eligibility requirements
  3. Transmitting

Step 1 - Completing the federal T3 efile setup

To access the federal T3 efile setup, select EFILE Setup from the Efile menu. DT Max will display the Federal T3 menu by default.

To transmit a T3 return type, you must complete your EFILE number and CRA password.

To transmit T3 slips, you must complete your federal transmitter number.

If you do not have a transmitter number please call the CRA at 1-800-665-5164 to obtain one.

In order to successfully transmit the T3 information, you must also properly complete the main or alternate name and address of the tax preparer. If information is missing, DT Max will inform you by displaying an Identification button on the right-hand side. Clicking on this button will allow you to quickly access the Tax Preparer Identification menu, where you will be able to complete the required fields. Once this information is saved, DT Max will take you to the Efile menu.

You must re-save your T3 efile setup if you subsequently modify the information within the Tax Preparer Identification menu.

To override your default settings, you may enter the keyword Efile-Federal within a particular client's file.

Please note that you are required to electronically file when submitting more than five T3 or five NR4 slips consisting of a specific slip type (i.e. original, amended, or canceled).

You will be liable to a federal penalty if you do not electronically file such slips.

Step 2 - Reviewing the eligibility requirements

Prior to transmitting a T3 return type, you must print federal form T183 - Information return for the electronic filing of Trust Return and have it signed by your client.

If this form was not generated, please refer to the Notes and diagnostics page to determine why the return was deemed ineligible for efile.

Prior to transmitting any T3 slip, you must determine whether or not it is eligible for efile. Should it be ineligible, DT Max will mention it in the Notes and diagnostics page.

Step 3 - Transmitting

To transmit a T3 return type, click the Efile icon, or select Transmit and receive from the Efile menu. Choose Current client, Federal, and click Continue.

Upon clicking Continue from the Transmit and receive menu, the program will connect to the CRA site and transmit the T3 return type in question. Any submitted file will be processed in real time, meaning that the acknowledgement will be generated almost instantly. The status of your client will also be updated to Efile acknowledgement upon the successful transmission of the T3 return.

To transmit T3 slips, click the Efile icon, or select Transmit and receive from the Efile menu. Choose Current client, Federal, and click Continue.

Clicking Continue will generate an EFILE transmission log. This log will display the creation of any T3 files that are ready for Internet filing.

Clicking Close will bring you to the T3 Internet filing menu. This menu allows you to connect to the CRA's Web site where you will have to complete the identification area and attach the file (making sure to include the ".XML" extension).

The identification area will require an:

  • account number
  • an assigned web access code (WAC)

To obtain a web access code for federal purposes, call the e-Services Helpdesk at 1-877-322-7849.

Please note that when accessing the CRA's Web page and attaching the file, you will be required to know the location where the file was saved and its name. The file will be saved within a subdirectory of the database. This subdirectory is named E_OUT. The location can also be obtained from the EFILE transmission log or from the T3 Internet filing menu. The file name will be T3_xxx.XML where xxx denotes the client number.

Any file submitted will be processed in real time, meaning that the acknowledgement will be generated almost instantly. Once successfully transmitted, you should delete the .XML file from your E_OUT folder. This can be accomplished through Windows Explorer.

You should also note that the processing status of a transmitted slip will not be automatically updated by DT Max. It can be updated manually through the Progress keyword.

It is highly recommended, for your own records, that you print and retain any acknowledgment.

If you must transmit the same slip more than once, for example when transmitting an amended or cancelled T3 slip after having already transmitted the original T3 slips, then you must enter the keyword Efile-Federal in order to specify the new T3 information you wish to transmit.

Note: Once a slip type has been successfully transmitted, any additional slips of the same type must be saved and transmitted under a new client file. For example, a new file must be created if you already transmitted two original T3 slips and must now transmit a third original T3 slip. This new file would only contain the one additional slip, and it would be transmitted separately.
